Job Description

We are seeking a highly organized, proactive, and detail-oriented Academic Program Coordinator to join our dedicated team. This pivotal role involves providing comprehensive administrative and operational support for various academic programs within our faculty. The Academic Program Coordinator will be instrumental in ensuring the smooth and efficient delivery of educational offerings, from student intake to graduation. You will act as a key liaison between students, faculty members, and various university departments, facilitating communication and resolving program-related queries. This role demands excellent organizational skills, a strong service-oriented mindset, and the ability to manage multiple priorities in a dynamic academic setting. You will contribute to the continuous improvement of our programs by gathering feedback and suggesting enhancements, playing a crucial part in the student experience and the overall success of our academic initiatives. Key Responsibilities

  • Coordinate the day-to-day operations of assigned academic programs, ensuring adherence to university policies and procedures.
  • Manage student admissions processes, including application review, communication with applicants, and onboarding.
  • Maintain accurate student records, course schedules, and program-related documentation using university systems.
  • Provide administrative support to faculty members, including scheduling meetings, preparing course materials, and assisting with grade submission.
  • Act as the primary point of contact for student inquiries regarding program requirements, regulations, and general support.
  • Organize and facilitate program-related events, workshops, and orientation sessions.
  • Assist with the development and implementation of program marketing and communication strategies.
  • Generate reports on program performance, student enrollment, and other key metrics.
  • Collaborate with other university departments (e.g., International Office, Student Affairs, Examination Board) to ensure seamless program delivery.
  • Support the accreditation and quality assurance processes for academic programs.
  • Process invoices, expense reports, and manage program budgets in coordination with finance departments.

Required Skills

  • Bachelor's degree in a relevant field (e.g., Education, Business Administration, Humanities).
  • Minimum of 3 years of experience in an administrative or coordination role, preferably within an academic or educational setting.
  • Excellent organizational and time management skills with a strong ability to prioritize tasks and meet deadlines.
  • Proficiency in Dutch and English, both written and verbal (C1 level preferred).
  • Strong interpersonal and communication skills, with the ability to interact effectively with diverse stakeholders.
  • Demonstrated proficiency with office software (MS Office Suite, especially Excel, Word, PowerPoint) and experience with student information systems (e.g., SAP, Osiris).
  • Ability to work independently as well as part of a team, showing initiative and problem-solving capabilities.
  • High level of accuracy and attention to detail.

Preferred Qualifications

  • Master's degree in a relevant discipline.
  • Experience with project management methodologies and tools.
  • Familiarity with Dutch higher education system and regulations.
  • Experience working with international students and diverse cultural backgrounds.
  • Knowledge of digital learning environments (e.g., Canvas, Blackboard).
