Job Description

We are seeking an exceptionally organized, proactive, and highly discreet Executive Assistant to provide comprehensive, high-level administrative and strategic support to the Chief Executive Officer (CEO) of Standard Bank Mozambique. This pivotal role requires an individual who can anticipate needs, think critically, and offer solutions with a high degree of professionalism and unwavering confidentiality. You will act as a crucial gatekeeper and liaison, managing the CEO’s complex schedule, facilitating seamless communication both internally and externally, and ensuring the efficient operation of the CEO’s office. The successful candidate will be an indispensable partner, enabling the CEO to focus on strategic priorities by expertly handling day-to-day operations and executing special projects. This is more than an administrative role; it’s an opportunity to be at the very heart of our organization’s leadership, directly influencing efficiency and effectiveness at the highest level. You will be expected to manage highly sensitive information with utmost discretion, exercise independent judgment, and possess a keen understanding of the bank’s business objectives and corporate culture. This position demands a commitment to excellence and a proactive approach to problem-solving, ensuring seamless operations for our executive leadership team.

Key Responsibilities

  • Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and travel.
  • Coordinate and schedule internal and external meetings, preparing agendas, taking minutes, and following up on action items.
  • Prepare and compile comprehensive reports, presentations, and correspondence, ensuring accuracy and professional presentation.
  • Handle confidential and sensitive information with the highest level of discretion and integrity.
  • Arrange complex and detailed travel plans, itineraries, and agendas for the CEO, both domestic and international.
  • Serve as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Oversee office administrative tasks to ensure smooth operations of the CEO's office, including supply management and vendor coordination.
  • Process expense reports, manage invoices, and assist with budget tracking for the CEO's office.
  • Assist with special projects, research, and initiatives as directed by the CEO, providing timely and accurate support.
  • Facilitate effective communication between the CEO and various departments, ensuring clarity and follow-through.

Required Skills

  • Proven experience (minimum 6 years) as an Executive Assistant or other senior administrative role, preferably supporting C-level executives.
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively in a demanding environment.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office software.
  • Excellent written and verbal communication skills in both English and Portuguese are mandatory.
  • Strong interpersonal skills with the ability to build rapport and communicate effectively with stakeholders at all levels.
  • High level of discretion, integrity, and ethical conduct in handling confidential information.
  • Proactive problem-solver with strong decision-making capabilities and attention to detail.
  • Ability to work independently with minimal supervision and as part of a team.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
  • Experience within the financial services industry, particularly in banking.
  • Familiarity with project management tools and methodologies.
  • Understanding of corporate governance and compliance requirements.
