Key Responsibilities
- Organize and maintain both physical and electronic medical records in compliance with established procedures and strict confidentiality guidelines.
- Retrieve medical records for physicians, nurses, and other authorized personnel as requested, ensuring timely delivery.
- Ensure the accuracy, completeness, and proper coding of all patient information and health data.
- Scan, file, and index new medical documents, reports, and laboratory results into the patient record system with precision.
- Respond promptly to requests for medical records from internal departments and external entities, ensuring proper authorization is meticulously obtained before release.
- Perform regular audits to ensure data integrity, identify any discrepancies, and correct errors proactively.
- Assist with the archiving, retrieval, and destruction of old records in accordance with institutional retention policies and legal requirements.
- Communicate effectively and professionally with healthcare professionals, administrative staff, and patients (when necessary) regarding record-related matters.
- Adhere strictly to all data privacy regulations, including local and international standards for patient information protection.
- Utilize office equipment such as computers, scanners, printers, and multi-line phones efficiently and troubleshoot minor issues.
- Manage incoming and outgoing correspondence related to medical records.
