Key Responsibilities
- Manage and maintain executive calendars, schedule meetings, appointments, and international travel arrangements.
- Prepare and edit professional correspondence, comprehensive reports, impactful presentations, and other critical documents.
- Organize and coordinate internal and external meetings, including preparing detailed agendas, recording accurate minutes, and managing logistics.
- Maintain efficient digital and physical filing systems, ensuring data integrity and easy retrieval of information.
- Manage office supplies inventory, process orders, and ensure the smooth functioning of office equipment.
- Act as a primary point of contact for internal and external inquiries, providing accurate information and directing calls/emails appropriately.
- Assist with budget tracking, expense reporting, and invoice processing, ensuring compliance with company financial policies.
- Support various departments with project-related administrative tasks, contributing to cross-functional initiatives.
- Ensure compliance with company policies and administrative procedures, upholding high standards of operational excellence.
- Handle confidential information with the utmost discretion and integrity, protecting sensitive data.
- Facilitate visitor logistics, including welcoming guests, preparing meeting rooms, and coordinating amenities.
Required Skills
- Proven experience (minimum 2 years) in an administrative support role, preferably in a corporate or international environment.
- Excellent written and verbal communication skills in English.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Strong organizational and time management skills with the ability to prioritize tasks effectively under pressure.
