Job Description

We are seeking a highly organized, compassionate, and detail-oriented Hospital Administration Officer to join our dynamic team at SIA “Veselības centrs 4”. This pivotal role is at the heart of our operations, ensuring the smooth and efficient functioning of our administrative processes and contributing directly to an exceptional patient experience. The Hospital Administration Officer acts as a crucial link between patients, medical staff, and management, handling a diverse range of administrative tasks with professionalism and empathy. You will be responsible for overseeing the daily administrative functions of our facility, managing patient flow, maintaining accurate records, and ensuring compliance with all relevant healthcare regulations and company policies. This role demands a proactive individual who can anticipate needs, solve problems efficiently, and maintain a calm and welcoming demeanor even in fast-paced situations. Your ability to communicate effectively, prioritize tasks, and work collaboratively will be essential in supporting our medical professionals and upholding the high standards of care that define VC4. Key Responsibilities

  • Oversee and manage the daily administrative operations of the hospital/clinic, ensuring efficiency and adherence to protocols.
  • Coordinate patient appointments, admissions, discharges, and transfers, ensuring a seamless experience.
  • Manage and maintain accurate patient medical records, both electronic and physical, ensuring confidentiality and data integrity.
  • Act as the primary point of contact for patient inquiries, providing information and resolving administrative issues with professionalism and empathy.
  • Liaise effectively with doctors, nurses, and other medical staff to facilitate patient care and operational coordination.
  • Ensure strict compliance with all local and national healthcare regulations, privacy laws (e.g., GDPR), and company policies.
  • Assist in the preparation of reports, statistical data, and other administrative documentation as required.
  • Support facility management tasks, including inventory control of office supplies and coordination of maintenance services.
  • Handle billing, insurance verification, and payment processing tasks accurately.
  • Contribute to a positive and supportive work environment for both staff and patients.

Required Skills

  • Proven experience in an administrative role within a healthcare setting.
  • Exceptional organizational and multitasking abilities with a strong attention to detail.
  • Excellent verbal and written communication skills in Latvian and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong problem-solving skills and the ability to work independently as well as part of a team.
  • High level of professionalism, discretion, and empathy.
  • Ability to manage sensitive information with strict confidentiality.

Preferred Qualifications

  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
  • Experience with hospital information systems (HIS) or electronic health records (EHR) software.
  • Knowledge of Russian language.
  • Familiarity with Latvian healthcare system regulations and practices.
