Key Responsibilities
- Schedule, confirm, and reschedule patient appointments efficiently via phone, email, and in-person interactions, ensuring optimal clinic flow and resource utilization.
- Manage and update patient records with accuracy and strict adherence to confidentiality protocols, including POPIA regulations specific to South Africa.
- Serve as the primary point of contact for patient inquiries, providing clear, concise, and compassionate information regarding appointments, services, and general practice queries.
- Verify patient insurance information and assist with basic billing inquiries, directing complex financial issues to appropriate administrative personnel.
- Prepare patient charts and necessary documentation in advance of appointments, ensuring all required forms and medical histories are complete and readily accessible.
- Maintain a tidy, organized, and welcoming reception area, reflecting a professional and calming environment for all visitors and patients.
- Collaborate effectively with medical staff, including doctors, nurses, and allied health professionals, to coordinate schedules, manage patient flow, and facilitate seamless care delivery.
- Assist with general administrative tasks such as filing, scanning, data entry, managing incoming/outgoing correspondence, and ordering office supplies.
- Handle urgent situations and patient concerns with calm and professionalism, escalating complex or critical issues to senior staff or medical professionals as necessary.
- Continuously learn and adapt to new procedures, healthcare management software, and evolving healthcare regulations to enhance service delivery and operational efficiency.
