Career.supersecrets is seeking an exceptional and highly organized Personal Assistant (PA) to provide comprehensive administrative and executive support to one of our esteemed Directors. This is a full-time position based in our vibrant Miami office, requiring an immediate start. The ideal candidate will be a proactive, discreet, and highly efficient individual with a proven track record of supporting senior executives in a demanding corporate environment. You will be the Director’s right hand, managing their schedule, communications, travel arrangements, and various projects, ensuring seamless operations and enabling them to focus on strategic initiatives. This role is far more than just administrative; it’s about anticipating needs, problem-solving before issues arise, and maintaining a high level of confidentiality and professionalism at all times. You will play a pivotal role in optimizing the Director’s productivity, managing complex calendars, coordinating internal and external meetings, preparing detailed reports and presentations, and handling sensitive information with utmost discretion. Key Responsibilities
- Manage and maintain the Director's complex calendar, including scheduling meetings, appointments, and conferences.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, and itineraries.
- Prepare and compile reports, presentations, and correspondence, ensuring accuracy and professionalism.
- Act as a primary point of contact, screening calls, emails, and visitors, and handling inquiries with discretion.
- Organize and prepare for meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Handle confidential and sensitive information with the highest level of integrity and discretion.
- Process expenses, invoices, and other financial documentation in a timely and accurate manner.
- Anticipate needs and proactively provide support to ensure the Director's efficiency and productivity.
- Assist with special projects and initiatives as assigned by the Director.
- Maintain an organized filing system for important documents and records.
Required Skills
- Minimum of 3 years of experience as a Personal Assistant or Executive Assistant to a senior executive.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Proactive and resourceful problem-solver.
- Ability to prioritize tasks and manage multiple projects simultaneously.
