Key Responsibilities
- Provide comprehensive administrative support to senior staff and departmental teams, including diary management, travel arrangements, and expense processing.
- Prepare, proofread, and format official documents, reports, presentations, and correspondence, ensuring accuracy and adherence to government standards.
- Manage and organize physical and electronic filing systems, ensuring efficient retrieval and compliance with data protection regulations.
- Act as the first point of contact for internal and external inquiries, providing accurate information or redirecting appropriately with professionalism and courtesy.
- Coordinate and schedule meetings, prepare agendas, take minutes, and follow up on action points to ensure timely completion.
- Assist with procurement processes, including raising purchase orders, processing invoices, and maintaining records of departmental expenditures.
- Support the onboarding of new staff members, including preparing workspaces, access, and introductory materials.
- Undertake research tasks and compile data as required to support departmental projects and initiatives.
- Ensure compliance with all departmental policies, procedures, and statutory requirements.
- Contribute to the continuous improvement of administrative processes and procedures within the department.
Required Skills
- Proven experience in an administrative or secretarial role, preferably within a public sector or large corporate environment.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills, with excellent attention to detail.
- Ability to handle confidential information with discretion and integrity.
- Proactive attitude and ability to work independently as well as part of a team.
- Demonstrated problem-solving capabilities.
- Eligibility to work in the UK and undergo necessary background checks.
Preferred Qualifications
- NVQ Level 3 in Business Administration or equivalent qualification.
- Experience with government specific IT systems or databases.
- Familiarity with public sector policies and procedures in Northern Ireland.
- Experience in minute-taking for official meetings.
