We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to join our bustling Maputo office. Key Responsibilities
- Manage and maintain executive calendars, schedule appointments, and coordinate internal and external meetings.
- Prepare and edit correspondence, reports, presentations, and other documents with high accuracy and professionalism.
- Organize and coordinate office operations and procedures to ensure maximum organizational effectiveness and efficiency.
- Handle incoming and outgoing communications, including phone calls, emails, and mail, directing queries to the appropriate personnel.
- Maintain an organized filing system for important documents, both physical and digital, ensuring easy retrieval and compliance.
- Assist in the preparation of budgets, financial reports, and process expense reports for various departments.
- Order and maintain office supplies inventory, managing relationships with vendors to ensure cost-effectiveness and timely delivery.
- Coordinate travel arrangements and accommodations for staff members as required, managing logistics efficiently.
- Act as a primary liaison between departments and external stakeholders, ensuring effective and clear communication flows.
- Provide general administrative support to various teams and projects, contributing to overall team success.
Required Skills
- Proven experience (minimum 2 years) as an Administrative Assistant or in a similar support role.
- Excellent written and verbal communication skills in both Portuguese and English.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Strong organizational and planning skills with meticulous attention to detail.
- Ability to prioritize tasks, manage multiple projects, and work effectively in a fast-paced environment.
- High level of discretion, integrity, and professionalism in handling confidential information.
- Strong problem-solving abilities and a proactive, self-starter attitude.
- Exceptional interpersonal skills and the ability to work collaboratively with diverse teams and individuals.
