Key Responsibilities
- Provide comprehensive administrative and secretarial support to senior executives, including managing complex calendars and scheduling appointments.
- Arrange and coordinate extensive international and domestic travel plans, itineraries, and accommodations.
- Act as a primary point of contact, screening calls, emails, and visitors, and redirecting as appropriate.
- Prepare and edit correspondence, communications, presentations, and other documents, often handling sensitive information.
- Organize and facilitate meetings, conferences, and events, including agenda preparation, minute taking, and follow-up on action items.
- Conduct research, compile data, and prepare reports and summaries for executive review and strategic planning.
- Manage and maintain highly confidential information and documents with unwavering discretion and integrity.
- Process expense reports, manage invoices, and assist with basic financial administration.
- Anticipate executive needs and proactively resolve issues, demonstrating strong problem-solving and proactive management skills.
- Maintain an organized filing system, both physical and electronic, ensuring easy retrieval of critical documents and information.
Required Skills
- Proven experience (minimum 4 years) as a Personal Assistant, Executive Assistant, or in a similar high-level executive support role.
- Exceptional organizational and time management skills with the ability to multitask, prioritize effectively, and meet tight deadlines.
- Excellent verbal and written communication skills in English and Kinyarwanda, with impeccable grammar and syntax.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- Demonstrated high level of discretion, integrity, and ability to handle confidential information with utmost sensitivity.
- Strong attention to detail and accuracy in all tasks, from scheduling to document preparation.
- Ability to work independently with minimal supervision, take initiative, and contribute as part of a high-performing executive team.
- Proactive approach to problem-solving, anticipating challenges, and finding effective solutions.
Preferred Qualifications
