Nanyuki Cottage Hospital is seeking a dedicated Medical Clinic Receptionist & Administrative Assistant to be the welcoming face and efficient backbone of our clinic operations. In this pivotal role, you will be the first point of contact for our valued patients, ensuring a smooth and positive experience from the moment they arrive. Beyond the front desk, you will provide essential administrative support to our medical team, contributing directly to the efficient flow of patient care and clinic management. This role requires exceptional communication skills, a proactive approach to problem-solving, and the ability to manage multiple tasks in a fast-paced setting. You will handle scheduling, patient registration, medical record management, and general office duties, all while maintaining the highest standards of professionalism and confidentiality. Key Responsibilities

  • Greet and welcome patients and visitors with a friendly and professional demeanor.
  • Manage patient appointments, including scheduling, rescheduling, and confirming.
  • Register new patients and update existing patient information accurately in the electronic health record (EHR) system.
  • Answer incoming calls, respond to inquiries, and direct calls to appropriate personnel.
  • Process patient payments, issue receipts, and manage billing inquiries.
  • Maintain patient confidentiality strictly in accordance with hospital policies and regulations.
  • Prepare and maintain patient files, ensuring all necessary documentation is complete and organised.
  • Assist medical staff with administrative tasks, including preparing referral letters, processing lab requests, and managing correspondence.
  • Oversee the tidiness and organisation of the reception area and waiting room.
  • Manage incoming and outgoing mail and deliveries.
  • Order and maintain office supplies.
  • Collaborate with other departments to ensure seamless patient flow and operational efficiency.

Required Skills

  • Minimum of 1 year of experience in a receptionist or administrative role, preferably in a medical setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organisational and time management abilities.
  • Exceptional interpersonal skills with a patient-centered approach.
  • Ability to handle sensitive information with discretion and maintain strict confidentiality.
  • High level of accuracy and attention to detail.
  • Proven ability to multitask and prioritise in a dynamic environment.

Preferred Qualifications

  • Diploma or Certificate in Business Administration, Office Management, or a related field.
  • Experience with electronic health record (EHR) systems.
  • Familiarity with medical terminology and procedures.
  • Fluency in Swahili and English.
