Key Responsibilities

  • Process invoices, expenses, and payment requests accurately and in a timely manner.
  • Perform regular bank reconciliations and reconcile general ledger accounts, investigating and resolving discrepancies.
  • Maintain accurate financial records, both physical and electronic, ensuring they are organised, easily retrievable, and compliant with data protection policies.
  • Assist with the preparation of financial reports, statements, and management accounts, ensuring data integrity.
  • Support the finance team during audits by preparing necessary documentation, compiling requested information, and liaising with auditors.
  • Manage client billing cycles, preparing and issuing invoices, and tracking payments, chasing overdue accounts where necessary.
  • Handle queries from clients and internal staff regarding financial matters, providing clear, concise, and professional information.
  • Ensure compliance with company financial policies and procedures, as well as relevant regulatory requirements and accounting standards.
  • Assist with budgeting and forecasting activities, gathering data and providing administrative support.
  • Administer payroll support functions, including processing timesheets, expense claims, and maintaining employee financial records.
  • Proactively identify and suggest improvements to financial administration processes for greater efficiency, accuracy, and compliance.

Required Skills

  • Proven experience (minimum 2 years) in a financial administration, accounts assistant, or similar role.
  • Solid understanding of basic accounting principles and financial processes, including double-entry bookkeeping.
  • Proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUPs, data analysis) and other Office Suite applications.
  • Experience with accounting software packages (e.g., Xero, Sage, QuickBooks, or similar industry-specific software).
  • Exceptional attention to detail and accuracy, with a methodical approach to tasks.
  • Strong organisational and time management skills with the ability to prioritise tasks effectively and meet deadlines.
  • Excellent written and verbal communication skills, capable of interacting professionally with diverse stakeholders.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
  • High level of integrity and ability to handle confidential financial information with discretion.

Preferred Qualifications

  • A-levels or equivalent qualification, with strong grades in Maths or Business subjects.
  • AAT Level 2 or 3 qualification (or actively working towards).
  • Prior experience working within a professional services firm (e.g., accountancy, legal, financial advisory) or a regulated financial environment.
  • Familiarity with UK financial regulations, tax compliance standards, and Companies House filing requirements.
