We are seeking a highly organized, professional, and customer-focused Receptionist/Administrative Assistant to join our vibrant team at the Equity Bank Bungoma branch. This pivotal role is the first point of contact for our valued clients and visitors, representing the face and voice of Equity Bank. Key Responsibilities
- Warmly greet and welcome all clients, visitors, and vendors to the branch, directing them to the appropriate personnel or departments with courtesy and efficiency.
- Answer, screen, and forward incoming phone calls promptly and professionally, taking accurate messages and ensuring timely relay of information.
- Manage the main reception area, ensuring it remains tidy, presentable, and well-stocked with necessary forms, brochures, and promotional materials.
- Handle incoming and outgoing mail, packages, and deliveries, ensuring proper logging, distribution, and dispatch with attention to detail.
- Maintain appointment schedules and calendars for branch management and meeting rooms, coordinating bookings and ensuring availability.
- Assist with general administrative tasks, including accurate data entry, organized filing (both physical and digital), scanning, photocopying, and comprehensive document management.
- Prepare and format professional reports, presentations, and correspondence as directed by senior staff, ensuring brand guidelines are followed.
- Order and maintain office supplies, ensuring adequate stock levels, managing inventory, and liaising with vendors for procurement and service.
- Assist in organizing and coordinating branch meetings, events, and staff welfare activities, including venue setup, catering, and logistical support.
- Manage petty cash reconciliation and other basic accounting tasks as assigned, maintaining accurate records.
- Maintain a high level of confidentiality regarding client information and sensitive company matters at all times.
- Provide proactive support to various departments with ad-hoc projects and administrative tasks as needed, demonstrating flexibility and initiative.
- Operate and troubleshoot basic office equipment such as printers, scanners, and projectors, ensuring smooth functionality.
Required Skills
- Proven experience (minimum 2 years) as a Receptionist, Administrative Assistant, or similar front-office role, preferably within the banking or financial services sector.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office management software.
- Excellent verbal and written communication skills in both English and Kiswahili.
- Professional demeanor and appearance with a strong customer service orientation and interpersonal skills.
- Exceptional ability to organize, prioritize, and manage multiple tasks efficiently in a busy environment.
- Strong problem-solving abilities and meticulous attention to detail.
- Demonstrated discretion and ability to handle confidential information with integrity.

- Minimum of a Diploma in Business Administration, Secretarial Studies, Communication, or a related field from a recognized institution.
