Key Responsibilities

  • Manage incoming and outgoing correspondence, including emails, letters, and packages, ensuring timely and accurate delivery.
  • Answer and direct phone calls with professionalism and courtesy, taking messages when necessary.
  • Schedule and coordinate appointments, meetings, and conferences, including booking rooms and preparing materials.
  • Organize and maintain comprehensive physical and digital filing systems, ensuring documents are easily accessible and secure.
  • Prepare, edit, and format various documents, reports, presentations, and other communications.
  • Assist with the management of office supplies inventory, placing orders as needed to ensure smooth operations.
  • Greet visitors warmly and direct them to the appropriate personnel or department.
  • Provide administrative support to senior staff and other team members as required.
  • Ensure the general tidiness, organization, and professional appearance of the office environment.
  • Handle confidential information with discretion and integrity.
  • Assist in basic data entry and record-keeping for administrative purposes.

Required Skills

  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management abilities, with a keen eye for detail.
  • Ability to work independently and collaboratively as part of a team.
  • Professional demeanor and strong interpersonal skills.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Basic understanding of office equipment operation (e.g., copier, scanner).

Preferred Qualifications

  • Ordinary National Diploma (OND) or Higher National Diploma (HND) in Secretarial Studies, Office Technology Management, Business Administration, or a related field.
  • Previous experience (even internships) in an administrative support or secretarial role.
  • Familiarity with banking operations or financial services industry concepts.
  • Ability to adapt to new technologies and office procedures quickly.
