We are seeking a proactive, organized, and friendly Office Assistant with strong receptionist duties to join our Equity Bank Siaya branch team on a part-time basis. This role is pivotal in creating a welcoming and efficient environment for our clients and staff. As the first point of contact, you will be the face and voice of our branch, ensuring a positive impression for all visitors and callers. You will manage incoming communications, provide essential administrative support, and ensure the smooth day-to-day operations of the office. Key Responsibilities
- Warmly greet and welcome all visitors, clients, and staff to the Siaya branch, directing them appropriately.
- Manage the main reception phone line, answer inquiries, screen calls, and forward messages accurately and promptly.
- Maintain a tidy and professional reception area, ensuring it reflects the bank’s high standards.
- Provide general administrative and clerical support to various departments and staff members, including data entry, filing, scanning, and photocopying.
- Assist with scheduling appointments, coordinating meetings, and managing conference room bookings.
- Receive, sort, and distribute daily mail, deliveries, and courier packages.
- Handle office supplies inventory, placing orders, and ensuring adequate stock levels are maintained.
- Assist in organizing and maintaining office records, documents, and databases.
- Support the preparation of reports, presentations, and other documents as required.
- Perform other ad-hoc administrative duties to ensure the efficient operation of the branch office.
Required Skills
- Proven experience in an administrative or receptionist role, preferably within a corporate or banking environment.
- Exceptional verbal and written communication skills in English and Kiswahili.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management abilities with excellent attention to detail.
- Customer-centric mindset with a professional and welcoming demeanor.
- Ability to work independently and as part of a team.
- High level of integrity and discretion in handling confidential information.
Preferred Qualifications
- A diploma or certificate in Business Administration, Office Management, or a related field.
- Knowledge of local languages, particularly Dholuo, is an added advantage.
