Job Description

Are you a highly organized, detail-oriented, and proactive individual with a passion for creating efficient and supportive office environments? Bank of Kigali Plc is seeking an experienced Office Administrator with strong clerical support capabilities to join our dynamic team in Kigali. In this critical full-time role, you will be the backbone of our administrative operations, ensuring the smooth day-to-day functioning of our office and providing essential support to various departments and senior staff. Key Responsibilities

  • Manage and maintain office supplies inventory, ensuring adequate stock levels and timely reordering.
  • Oversee the scheduling of meetings, appointments, and conference rooms, including preparing agendas and taking minutes.
  • Handle incoming and outgoing correspondence, including emails, letters, and packages, ensuring timely distribution and response.
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and adherence to data protection policies.
  • Provide administrative support to senior management and various departments, including preparing reports, presentations, and other documents.
  • Coordinate travel arrangements for staff, including booking flights, accommodation, and transportation.
  • Act as the primary point of contact for internal and external inquiries, directing them to the appropriate personnel.
  • Assist with onboarding new employees, including preparing workstations and necessary documentation.
  • Ensure the office environment is tidy, organized, and conducive to productivity.
  • Manage vendor relationships and service contracts for office equipment and facilities maintenance.

Required Skills

  • Proven experience as an Office Administrator, Office Manager, or in a similar clerical support role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills in English and Kinyarwanda.
  • High degree of discretion and ability to handle confidential information with integrity.
  • Exceptional attention to detail and accuracy.
  • Proactive problem-solving abilities and a strong work ethic.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications

  • A Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Experience working within the banking or financial services industry.
  • Familiarity with office management systems and procedures.
  • Knowledge of French is an added advantage.
