Job Description

Are you an exceptionally organized and proactive individual with a passion for creating memorable experiences? The Ngororero Coffee Washing Station (NCWS) is looking for a dedicated and enthusiastic Event Coordinator Assistant for a temporary role focused on venue management. This position is perfect for someone eager to gain hands-on experience in event coordination within a bustling agricultural and community-focused environment. As our Event Coordinator Assistant, you will play a crucial role in the successful execution of various events hosted at our facilities, ranging from farmer workshops and community outreach programs to international buyer visits and internal corporate meetings. You will be instrumental in ensuring our venue is perfectly set up and managed for each occasion. Your day-to-day responsibilities will involve meticulous planning, coordination of resources, on-site setup and breakdown, and providing essential administrative support. Key Responsibilities

  • Assist in the planning, coordination, and execution of various events, including farmer trainings, buyer visits, community meetings, and internal workshops.
  • Manage venue setup and breakdown, ensuring all equipment, furniture, and materials are arranged according to event specifications.
  • Coordinate with internal teams and external vendors for event logistics, including catering, audio-visual equipment, and transport.
  • Prepare event materials such as signage, registration packets, and informational handouts.
  • Provide on-site support during events, including greeting guests, managing registrations, and addressing any immediate needs.
  • Maintain an organized inventory of event supplies and equipment.
  • Process invoices, track expenses, and manage budgets for assigned events.
  • Assist in post-event evaluations, gathering feedback, and preparing summary reports.
  • Ensure the venue is clean, organized, and ready for use before, during, and after events.
  • Handle administrative tasks such as scheduling meetings, responding to inquiries, and maintaining event calendars.

Required Skills

  • Proven organizational and time management skills with keen attention to detail.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic familiarity with project management tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong problem-solving skills and a proactive approach.
  • High level of professionalism and customer service orientation.

Preferred Qualifications

  • Diploma or certificate in Event Management, Hospitality, Business Administration, or a related field.
  • 1 year of experience in event coordination, venue management, or a relevant administrative role.
  • Fluency in Kinyarwanda and English; French is a plus.
  • Experience working with local communities or in the agricultural sector.
