Job Description

Are you meticulously organized, highly accurate, and thrive in a remote work environment? SawaWorld is seeking a dedicated and self-motivated Data Encoder to join our dynamic team. This work-from-home position offers a unique opportunity to contribute to our mission of empowering grassroots innovators across Rwanda by ensuring the integrity and accessibility of crucial program data. As a Data Encoder, you will be instrumental in transforming raw information from various sources—including paper forms, digital surveys, and reports—into structured, digital formats within our database systems. Your work will directly impact our ability to track program progress, measure social impact, and refine our strategies to better serve communities.

In this vital role, your precision and unwavering attention to detail will be paramount. You will be responsible for maintaining the high quality and consistency of our databases, which support critical decision-making processes, donor reporting, and internal analyses. This position requires exceptional focus, a strong work ethic, and the ability to manage your time effectively and independently in an autonomous setting. We are looking for someone who takes initiative, is comfortable with technology, and can maintain high productivity standards without direct supervision.

Key Responsibilities

  • Accurately input a high volume of data from various sources (e.g., surveys, reports, forms) into designated databases and systems.
  • Verify data for accuracy, completeness, and consistency, correcting discrepancies as needed.
  • Maintain data integrity and confidentiality in strict accordance with organizational policies and privacy regulations.
  • Organize and file physical and electronic documents to ensure easy retrieval and proper record-keeping.
  • Generate reports and summaries of entered data as required by supervisors.
  • Perform regular data quality checks and support data cleansing initiatives.
  • Communicate effectively with team members regarding data-related issues or clarification needs.
  • Adhere to project deadlines and maintain a high level of productivity in a remote work environment.
  • Contribute to improving data collection and entry processes.
  • Safeguard sensitive information and adhere to all data protection policies.

Required Skills

  • Minimum of 6 months experience in data entry or a related administrative role.
  • Exceptional typing speed and accuracy (e.g., 50+ WPM with high accuracy).
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace.
  • Strong attention to detail and ability to identify errors.
  • Excellent organizational and time management skills.
  • Ability to work independently and manage multiple tasks effectively in a remote setting.
  • Reliable internet connection and a conducive home office environment.
  • Strong verbal and written communication skills in English.

Preferred Qualifications

  • Diploma or certificate in Information Technology, Business Administration, or a related field.
  • Experience with specific database management systems (e.g., Salesforce, Airtable, custom CRM).
  • Familiarity with data privacy regulations (e.g., GDPR, local Rwandan data protection laws).
  • Previous experience working in a non-profit or development organization.
  • Proficiency in Kinyarwanda.
