Job Description
We are seeking a highly organized, proactive, and experienced Administrator with a strong focus on office management to join our dynamic team in Dutse Alhaji, Abuja. This pivotal role requires a professional who can seamlessly manage daily office operations, provide comprehensive administrative support to senior management and staff, and ensure the smooth and efficient functioning of our premises. The ideal candidate will be the backbone of our administrative efforts, capable of handling diverse tasks from scheduling and correspondence to procurement and facility coordination. Key Responsibilities
- Manage and maintain office services, ensuring efficient operations, including office supplies, equipment, and facility management.
- Provide high-level administrative support to senior management and departmental teams, including scheduling meetings, managing calendars, and making travel arrangements.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring timely and professional responses.
- Organize and maintain physical and electronic filing systems, ensuring data integrity and easy retrieval of information.
- Coordinate and prepare for internal and external meetings, including setting up meeting rooms, preparing agendas, taking minutes, and distributing materials.
- Liaise with vendors, suppliers, and service providers, managing procurement processes, tracking invoices, and ensuring compliance with company policies.
- Assist with basic HR administrative tasks, such as onboarding new employees, maintaining employee records, and coordinating training sessions.
- Oversee office budget for administrative expenses, monitoring expenditures, and reporting discrepancies.
- Implement and maintain office policies and procedures to ensure consistency and efficiency.
- Support project teams with administrative tasks as required, contributing to project documentation and coordination efforts.
Required Skills
- Minimum of 3 years of proven experience in an administrative or office management role, preferably in a corporate environment.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
- Excellent written and verbal communication skills in English.
- Strong interpersonal skills with the ability to interact professionally with all levels of staff and external stakeholders.
- High level of attention to detail and accuracy in all work performed.
- Ability to work independently with minimal supervision and as part of a team.
- Proactive attitude and strong problem-solving capabilities.
Preferred Qualifications
- Bachelor's degree in Business Administration, Office Management, or a related field.
- Certification in Office Administration or Project Management.
