Key Responsibilities
- Manage and maintain the cooperative's office calendar, scheduling meetings, appointments, and events for management and staff.
- Coordinate logistics for internal and external meetings, including room bookings, catering, and necessary equipment setup.
- Act as the primary point of contact for scheduling inquiries, managing conflicts, and communicating changes promptly and professionally.
- Prepare and distribute meeting agendas, minutes, and related documents.
- Assist in organizing and coordinating travel arrangements for staff as needed.
- Handle incoming and outgoing communications, including phone calls, emails, and correspondence, directing them to the appropriate personnel.
- Maintain an organized filing system, both physical and digital, ensuring easy retrieval of documents.
- Order and maintain office supplies inventory, ensuring adequate stock levels.
- Provide general administrative support to various departments as required, fostering a collaborative work environment.
- Contribute to maintaining a welcoming and efficient office environment.
Required Skills
- Excellent organizational and time management skills
- Strong verbal and written communication abilities in English and Kinyarwanda
- Proficiency in basic computer applications (e.g., Microsoft Office Suite – Word, Excel, Outlook)
- Exceptional attention to detail and accuracy
- Ability to prioritize tasks and manage multiple responsibilities effectively
- Proactive and self-motivated with a strong work ethic
- A positive attitude and willingness to learn and adapt
- Ability to maintain confidentiality and handle sensitive information with discretion
Preferred Qualifications
