Job Description
Big Life Foundation is seeking a highly motivated and detail-oriented Junior HR Coordinator – Admin Assistant to join our team on a contract basis in Loitokitok, Kajiado County. This dual-role position is crucial for the efficient functioning of our administrative and human resources departments, providing essential support across various operational areas. The successful candidate will play a pivotal role in ensuring that our HR processes run smoothly and that our office administration is organized and efficient. You will be instrumental in supporting our dedicated staff, from onboarding new team members to managing daily office operations, all while contributing to our impactful conservation mission. This is an excellent opportunity for an emerging professional to gain hands-on experience in both human resources and general administration within a non-profit environment, directly supporting critical conservation efforts in the iconic Amboseli-Tsavo-Kilimanjaro ecosystem. The role requires a proactive individual with strong organizational skills, excellent communication abilities, and a genuine interest in conservation.
Key Responsibilities
- Assist with the recruitment process, including posting job advertisements, scheduling interviews, and preparing offer letters.
- Support employee onboarding and offboarding procedures, ensuring all necessary documentation is completed and filed accurately.
- Maintain and update employee records and HR databases, ensuring data integrity and confidentiality.
- Assist in coordinating HR-related meetings, training sessions, and employee engagement activities.
- Draft and prepare various HR documents, reports, and correspondence under supervision.
- Manage general office administration, including managing incoming calls, emails, and correspondence.
- Oversee office supplies inventory, procurement, and maintenance of office equipment.
- Coordinate travel arrangements, accommodation, and logistics for staff and visitors as needed.
- Organize and maintain both physical and digital filing systems, ensuring easy retrieval of documents.
- Provide administrative support to senior staff and various departments, assisting with presentations, reports, and data entry.
- Facilitate internal communications and ensure information flow within the Loitokitok office.
- Assist in organizing events, workshops, and meetings held at the Loitokitok office.
Required Skills
- Diploma or Bachelor's degree in Human Resources, Business Administration, Public Relations, or a related field.
- Minimum of 1-2 years of relevant experience in an HR or administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in English and Kiswahili.
- Strong organizational skills with a keen eye for detail and accuracy.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive, self-motivated, and able to work both independently and as part of a team.
- Basic understanding of Kenyan labor laws and HR best practices.
Preferred Qualifications
- Prior experience working within a Non-Governmental Organization (NGO) or conservation sector.
- Experience with HR information systems or applicant tracking systems.
- Knowledge of local Kajiado County dynamics and community engagement practices.
