Job Description

World Vision Rwanda is seeking a dedicated Junior Project Coordinator – Team Assistant for a contract role based in Gakenke, Northern Province. This is an exceptional opportunity for a motivated professional to support critical development initiatives aimed at improving the well-being of children and vulnerable communities across the region. In this pivotal support role, you will be instrumental in ensuring the smooth and efficient operation of our project teams, contributing directly to our mission of tackling the root causes of poverty and injustice, and fostering sustainable community development.

As a Junior Project Coordinator – Team Assistant, you will work closely with Project Managers and various team members, providing essential administrative, logistical, and coordination support across multiple projects within our Gakenke Area Development Programme (ADP). Your day-to-day will involve a diverse range of tasks, from meticulously scheduling meetings and preparing comprehensive project documentation, including reports and presentations, to assisting with budget tracking and facilitating seamless communication among internal and external stakeholders, including local government officials and community leaders. You will be at the heart of our operations, helping to organize impactful field visits, community workshops, and awareness campaigns, ensuring that all activities align with specific project objectives, donor requirements, and World Vision’s core values of integrity, compassion, and commitment. This role offers a unique chance to gain hands-on experience in project management within a dynamic non-profit environment, learning best practices in development programming, sophisticated donor reporting, and fostering community-led initiatives that truly empower local populations.

Key Responsibilities

  • Provide comprehensive administrative and logistical support to project teams, including scheduling meetings, managing calendars, and preparing travel arrangements for field activities.
  • Assist in the preparation and dissemination of project documentation, including reports, presentations, minutes of meetings, and communication materials.
  • Support the Project Manager in tracking project timelines, deliverables, and budgets, ensuring adherence to established plans and reporting requirements.
  • Facilitate effective communication channels among team members, stakeholders, and external partners, responding to inquiries and maintaining professional correspondence.
  • Organize and coordinate workshops, community engagement events, and field visits, handling logistics, invitations, and necessary arrangements.
  • Maintain organized and accurate project files, databases, and records, ensuring easy retrieval and compliance with organizational standards.
  • Assist in data collection, basic analysis, and preparation of preliminary reports for project monitoring and evaluation purposes.
  • Proactively identify and suggest improvements to administrative processes and workflows to enhance team efficiency and productivity.

Required Skills

  • Proven organizational and time management skills with the ability to manage multiple tasks concurrently.
  • Excellent written and verbal communication skills in English and Kinyarwanda.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal skills with the ability to work effectively in a multicultural team environment.
  • Attention to detail and accuracy in record-keeping and document preparation.
  • Proactive attitude and ability to take initiative and work independently when required.
  • Demonstrated commitment to humanitarian principles and community development.

Preferred Qualifications

  • Bachelor’s degree in Project Management, Business Administration, Social Sciences, or a related field.
  • Previous experience (internship or volunteer) in an NGO or development setting.
  • Familiarity with project management tools or software (e.g., Asana, Trello).
  • Experience working with community groups or local government structures in Rwanda.
