Job Description

Are you a highly organised, creative, and customer-focused individual with a passion for bringing events to life? Blue Haze Lodge is seeking an experienced and dynamic Event Coordinator to join our dedicated team. This pivotal role involves overseeing the planning, execution, and post-event analysis of all events hosted at our lodge, ensuring every occasion exceeds our clients’ expectations. From initial client consultation to the final successful delivery, you will be the central point of contact, orchestrating every detail to perfection. The ideal candidate will possess exceptional communication skills, a keen eye for detail, and the ability to thrive in a fast-paced environment. You will be instrumental in maintaining Blue Haze Lodge’s reputation for outstanding event services, cultivating strong relationships with clients and vendors, and contributing to the overall success and growth of our events department. Key Responsibilities

  • Manage and coordinate all aspects of event planning, including client consultations, proposal development, and contract negotiation.
  • Develop detailed event timelines, checklists, and floor plans to ensure seamless execution.
  • Liaise with internal departments (e.g., F&B, housekeeping, maintenance) to ensure all operational requirements are met.
  • Source, negotiate with, and manage external vendors (e.g., caterers, decorators, entertainment, audiovisual) to secure best services and pricing.
  • Prepare and manage event budgets, tracking expenses and revenue to ensure profitability.
  • Conduct site inspections, pre-event meetings, and debriefs to ensure all stakeholders are aligned.
  • Provide on-site supervision during events, addressing any issues or last-minute requests promptly and professionally.
  • Ensure all events adhere to health, safety, and hygiene standards.
  • Gather client feedback post-event and implement improvements for future events.
  • Maintain comprehensive records of all event details, contracts, and communications.

Required Skills

  • Proven experience as an Event Coordinator or similar role within the hospitality industry.
  • Exceptional organizational and time management skills.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to manage multiple projects simultaneously while maintaining attention to detail.
  • Proficiency in event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Demonstrated problem-solving abilities and a proactive approach.
  • Financial acumen with experience in budget management.
  • Customer-centric approach with a commitment to delivering high-quality service.
  • Valid driver's license and reliable transportation.

Preferred Qualifications

  • A Bachelor's degree or Diploma in Hospitality Management, Event Management, Marketing, or a related field.
  • Certification in event planning (e.g., CMP – Certified Meeting Professional).
  • Familiarity with local vendors and event trends in KwaZulu-Natal.
  • Experience with CRM systems for client management.
  • Ability to speak additional local languages.
