We are seeking an experienced and highly organized Office Manager to oversee the daily administrative and operational functions of our Joliet office. This pivotal role ensures the smooth, efficient, and professional operation of our facility, supporting our medical and administrative staff, and enhancing the overall patient and visitor experience. Key Responsibilities
- Manage and maintain office services, ensuring efficient and effective daily operations.
- Oversee procurement of office supplies, equipment, and services, negotiating with vendors for cost-effectiveness.
- Coordinate office space utilization, maintenance, and cleanliness, ensuring a safe and presentable environment.
- Act as a liaison for facility management, IT support, and other external service providers.
- Develop and implement office policies and procedures to optimize workflow and productivity.
- Provide administrative support to leadership, including scheduling, correspondence, and report preparation.
- Manage budgets for office expenditures and maintain accurate financial records.
- Handle incoming and outgoing communications, including mail, email, and phone calls, directing as appropriate.
- Assist with onboarding new staff members, ensuring they have necessary resources and information.
- Maintain confidentiality of sensitive information and ensure compliance with all relevant regulations.
- Organize and coordinate internal office events, meetings, and team-building activities.
Required Skills
- Minimum of 3 years of experience in office management or a similar administrative leadership role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Proven ability to manage budgets and office expenditures.
