We are seeking an exceptionally organised, proactive, and discreet Executive Assistant to provide comprehensive administrative and executive support to a senior leader within our dynamic organisation. Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements (domestic and international).
  • Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professional presentation.
  • Organise and coordinate executive meetings, including preparing agendas, taking minutes, distributing materials, and tracking action items.
  • Act as a primary point of contact and liaison for internal and external stakeholders, handling inquiries and directing calls appropriately.
  • Conduct research, compile data, and prepare reports and presentations as needed.
  • Process expense reports, invoices, and other financial documentation with meticulous attention to detail.
  • Proactively anticipate executive needs and resolve administrative issues before they arise.
  • Maintain a highly organised filing system (both digital and physical) and manage confidential information with discretion.
  • Assist with special projects and events as required, demonstrating flexibility and adaptability.

Required Skills

  • Proven experience (5+ years) as an Executive Assistant supporting senior-level management.
  • Exceptional organisational and time management skills with the ability to prioritise effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
  • Superior written and verbal communication skills, with a keen eye for detail and grammar.
  • Demonstrated ability to handle confidential information with integrity and discretion.
  • Strong problem-solving abilities and a proactive, "can-do" attitude.
  • Ability to work independently and collaboratively in a fast-paced, high-pressure environment.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working within the financial services industry or a large corporate environment.
  • Project coordination experience.
  • Familiarity with collaboration tools and virtual meeting platforms.
