Job Description
We are seeking a highly organized, detail-oriented, and experienced Legal Secretary to join our dynamic legal team in Lake Charles. This pivotal role supports our attorneys in managing complex caseloads, ensuring efficient office operations, and maintaining impeccable client service. The ideal candidate will possess an exceptional understanding of legal terminology, court procedures, and legal document preparation across various practice areas. You will be instrumental in the daily workflow, managing schedules, correspondence, and filings, all while upholding the highest standards of confidentiality and professionalism. Key Responsibilities
- Prepare, format, and proofread legal documents including pleadings, motions, briefs, subpoenas, discovery requests, and other correspondence with meticulous accuracy.
- Manage attorney calendars, schedule appointments, court dates, depositions, and meetings, ensuring all deadlines are met.
- Organize and maintain physical and electronic client files, ensuring all documentation is accurately filed, easily retrievable, and compliant with firm standards.
- Transcribe dictation, type, and distribute legal correspondence and memoranda promptly and professionally.
- Answer and screen phone calls, greet clients, and manage incoming and outgoing mail and faxes with a high level of discretion and professionalism.
- Liaise with clients, court personnel, opposing counsel, and other external parties, acting as a professional and reliable point of contact.
- Assist with trial preparation, including organizing exhibits, witness lists, trial binders, and other necessary materials.
- Process expense reports, invoices, and assist with billing procedures as required, ensuring accuracy and timely submission.
- Conduct basic legal research and factual investigation under attorney supervision to support case development.
- Handle e-filing of documents with various courts and agencies, ensuring strict compliance with all procedural rules and deadlines.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- High level of attention to detail and accuracy
- Ability to maintain strict confidentiality and exercise sound judgment
- Comprehensive knowledge of legal terminology and court procedures
- Experience with legal practice management software (e.g., Clio, MyCase, Needles)
- Typing speed of at least 60 WPM
- Exceptional proofreading and editing skills
- Ability to work independently and as part of a team
Preferred Qualifications
- Associate's degree or higher in paralegal studies, legal administration, or a related field
- Louisiana Notary Public commission
- Experience in personal injury, environmental law, or class action litigation
- Familiarity with local Lake Charles and Louisiana state court rules and e-filing systems
- Previous experience working in a fast-paced law firm environment
