Job Description

We are seeking an enthusiastic and highly organized Art Gallery Assistant to join our dedicated team at Douglas Flanders & Associates. This is an exciting opportunity for an individual with a passion for art and a keen eye for detail to contribute to the daily operations of a respected fine art gallery. As an Art Gallery Assistant, you will play a crucial role in maintaining the gallery’s pristine appearance, assisting with client interactions, supporting administrative functions, and ensuring the smooth execution of exhibitions and events. You will be immersed in a dynamic environment, learning the intricacies of gallery management, art handling, and client relations. This position requires a proactive attitude, excellent communication skills, and a strong commitment to providing exceptional service. Key Responsibilities

  • Warmly greet and assist gallery visitors, providing information about artists and artworks with a professional and engaging demeanor.
  • Maintain the gallery's immaculate appearance, ensuring artworks are properly displayed, and all public areas are clean and organized.
  • Assist with the careful handling, packing, unpacking, and installation of artworks for exhibitions, sales, and shipments.
  • Perform essential administrative tasks including data entry, managing correspondence, scheduling appointments, and maintaining client records.
  • Support the sales team by preparing materials for client presentations, managing leads, and processing sales transactions accurately.
  • Coordinate and assist with the planning and execution of gallery events, openings, and private viewings.
  • Conduct basic research on artists and artworks as needed for inventory management and client inquiries.
  • Manage and organize gallery inventory, including cataloging new acquisitions and tracking movement of artworks.
  • Ensure the security and safety of artworks and the gallery space.

Required Skills

  • Exceptional communication and interpersonal skills, with the ability to engage diverse audiences.
  • Strong organizational abilities and meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
  • A genuine passion for and foundational knowledge of art history, contemporary art, or the art market.
  • Proven ability to work independently and as part of a collaborative team.
  • Demonstrated customer service experience in a professional setting.
  • Physical capability to safely lift and move artworks, up to 30-40 pounds, and stand for extended periods.

Preferred Qualifications

  • Bachelor's degree in Art History, Fine Arts, Museum Studies, Arts Management, or a related field.
  • Prior experience in an art gallery, museum, or similar cultural institution.
  • Familiarity with art inventory management software (e.g., Artlogic, Artsy, Collectrium).
  • Experience with social media platforms for professional art promotion.
