Job Description

We are seeking a highly organized, detail-oriented, and dedicated Municipal Clerk to join our team in Chrissiesmeer. This pivotal role provides comprehensive administrative support to ensure the smooth and efficient operation of municipal services and functions within the Chrissiesmeer area. The Municipal Clerk will serve as a primary point of contact for public inquiries, manage critical documentation, and assist in coordinating various municipal activities. This position requires a proactive individual with excellent communication skills, a strong work ethic, and a commitment to public service. The successful candidate will play an essential role in maintaining accurate records, facilitating communication between departments and the public, and upholding the integrity and professionalism of the Msukaligwa Local Municipality. Key Responsibilities

  • Provide comprehensive administrative and secretarial support to municipal officials and council members within the Chrissiesmeer office.
  • Manage and maintain official municipal records, documents, and archives in compliance with all relevant legislative and internal policy requirements.
  • Prepare, distribute, and meticulously maintain minutes, agendas, and resolutions for various committee and council meetings, ensuring accuracy and timely dissemination.
  • Handle public inquiries, complaints, and requests with professionalism and empathy, directing them to the appropriate municipal departments or individuals for efficient resolution.
  • Assist in the preparation of detailed reports, engaging presentations, and other official correspondence, ensuring clarity and adherence to municipal standards.
  • Process and track permits, licenses, and applications, ensuring all necessary documentation is complete, accurate, and processed within stipulated timeframes.
  • Maintain strict confidentiality of sensitive information and ensure all data protection protocols are rigorously followed in accordance with POPIA and other relevant legislation.
  • Assist with the effective coordination of municipal events, public workshops, and community engagement initiatives to foster strong community relations.
  • Manage office supplies, equipment, and general office administration tasks to ensure a well-functioning and productive work environment.
  • Liaise effectively with internal departments, external stakeholders, and community organizations to facilitate collaborative municipal operations.
  • Ensure continuous compliance with all relevant municipal by-laws, policies, and national legislation affecting local government.
  • Facilitate seamless internal communication and information flow within the Chrissiesmeer office and with the main municipal offices in Ermelo.

Required Skills

  • Proven experience of at least two years in an administrative or clerical role, preferably within a government, public sector, or similar highly regulated environment.
  • Excellent written and verbal communication skills in English (proficiency in local languages such as isiZulu or siSwati is a distinct advantage).
  • High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general computer literacy.
  • Strong organizational and time management skills with a demonstrated ability to prioritize tasks effectively and manage multiple deadlines.
  • Exceptional level of accuracy and meticulous attention to detail in all administrative functions.
  • Ability to work both independently with minimal supervision and collaboratively as an integral part of a dedicated team.
  • Demonstrated ability to handle confidential and sensitive information with the utmost discretion and integrity.
  • Strong customer service orientation coupled with a professional, helpful, and approachable demeanor when interacting with the public and colleagues.

Preferred Qualifications

  • A National Diploma or Certificate (NQF Level 5 or higher) in Public Administration, Office Administration, Business Management, or a related field.
  • In-depth knowledge of local government operations, structures, and legislative frameworks in South Africa.
  • Previous experience with records management systems and electronic document management platforms.
  • Possession of a valid South African driver's license.
