We are seeking a highly organized, detail-oriented, and proactive Remote Municipal Administrator to join our dedicated team. Key Responsibilities
- Manage and organize municipal records, documents, and correspondence, both physical and digital.
- Prepare, proofread, and distribute official municipal documents, reports, memorandums, and presentations.
- Coordinate meetings, prepare agendas, record minutes, and ensure timely follow-up on action items for various municipal committees and departments.
- Assist in the preparation and monitoring of departmental budgets and financial reports.
- Handle inquiries from the public and internal staff, directing them to the appropriate department or providing information as required.
- Maintain and update municipal databases, registers, and information systems with accuracy and confidentiality.
- Provide administrative support for procurement processes, including preparing tender documents and managing supplier information.
- Facilitate internal and external communication, ensuring effective information flow within the municipality and with external stakeholders.
- Ensure compliance with municipal policies, procedures, and relevant legislative frameworks.
- Assist with special projects and initiatives as assigned by senior management.
Required Skills
- Proven experience in an administrative or secretarial role, preferably within a public sector or municipal environment.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively in a remote setting.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with document management systems.
- Excellent written and verbal communication skills in English, with strong attention to detail and grammar.
