We are seeking an accomplished and highly discreet Personal Assistant/House Administrator to provide comprehensive executive and personal support to a senior leader within Mirvac. Key Responsibilities
- Manage and maintain a complex executive calendar, including scheduling appointments, meetings, and conferences, both professional and personal.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, visas, and detailed itineraries.
- Prepare, edit, and proofread correspondence, presentations, reports, and other documents for executive review.
- Act as a primary point of contact, screening calls and emails, and managing communications with professionalism and discretion.
- Process invoices, expenses, and manage budgets related to both professional and personal accounts.
- Coordinate and oversee household operations, including managing service providers (cleaners, gardeners, tradespeople), property maintenance, and supplies.
- Organize personal appointments, events, and family commitments, ensuring timely execution and minimal disruption.
- Handle confidential and sensitive information with absolute integrity and discretion.
- Anticipate needs and proactively prepare for meetings, events, and travel, ensuring all necessary materials are available.
- Undertake various ad-hoc projects and tasks as required, demonstrating flexibility and resourcefulness.
Required Skills
- Minimum of 4 years of experience as a Personal Assistant, Executive Assistant, or similar administrative support role, preferably supporting senior executives or high-net-worth individuals.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Superior written and verbal communication skills, with meticulous attention to detail.
